Preparing for Go Live Checklist

Before inviting users to raise requests in FMI Works, use this checklist to prepare for launch

Why do I need a go live checklist? 

If your organisation has recently purchased FMI Works, you are on a path to improving visibility over work in your facilities and unlocking productivity gains for the facilities team. 

To achieve these goals, you need buy-in from your facilities users. Efficient maintenance management starts with users that are regularly and confidently raising work requests in your new system. 

This checklist will help you plan and communicate the launch of your new FMI Works system. 

The checklist 

1. Review User Permissions 


Review your users in FMI Works at Administrator > Security > Users to ensure they have the right permissions for their role.

2. Update New Request Instructions 

Consider adding a personalised message with instructions for your facility users when they raise requests through the Requests portal.

3. Review Email Templates 

Once you start using FMI Works, email notifications will automatically be sent to keep everyone up to date. These emails will be sent from notifications@fmiworks.com, so ensure your templates are personalised with your organisation’s name and contact details clearly stated so that your users know what’s going on.

4. Communication for Facility Users 

Let your facility users know what’s happening, and why, in advance. Considering including: 

  • What’s in it for them? How the new system will make it easier to raise requests and receive progress updates. 
  • Target go-live date. 
  • Who to contact in your organisation if they have any questions. 
  • Your organisation’s link to access FMI Works. 
  • Instructions on how to log in when:

  • What’s happening to their existing work requests? 

5. Communication for Internal and External Trades 

Let your internal team and contractors know about the changes. Consider introducing a couple of suppliers to the Contractor Portal before expanding to all. 

Consider including: 

Although your facility users will be able to use FMI Works to raise requests without training, consider whether your internal trades and contractors may benefit from some training prior to launch. The FMI team can help with this if needed. 

6. Go Live Day 

On the day, remind your users about the new system. Do not forget to deactivate the old system to ensure your new requests end up in the right place.
